Section 1

Introduction and Overview

Welcome to the onsite induction for the Final Fantasy Festival 2023, taking place at ExCel, London.

This safety information is for all non-construction event staff / client etc. who require access to the event site prior to the live period. The safety induction is provided by AFL Associates and details the key safety information relevant to working on site, including site rules, emergency contact information and required PPE some of which is MANDATORY.

JDB Technical and Square Enix management makes specific commitments to its event staff and contractors with regards to working safely and personal safety.  It is important that everyone accessing the halls prior to the live period, has read and completed the relevant  induction, to ensure the safety of all.  All staff who have completed the induction will be provided with a wrist band on arrival at the venue.

It is the policy of JDB Technical and Square Enix to promote the highest possible levels of health and safety so as to lead to the avoidance or reduction of risks to the health and safety of all persons who, may be affected by their business activities and to ensure compliance with all current H&S legislation.

Once you have read and understood the information, please follow the link at the end of this induction to confirm. A live list of persons completing the induction will be held by the Event Safety Advisor. You MUST read and confirm you understand the content before you are permitted to work on site.

Site Rules

Whilst working on site, you MUST adhere to the site rules which are designed to keep you, your staff, and other people safe.

The site rules are outlined in the relevant sections below.

Please ensure you read them carefully, understand the rules that are in place and ensure you follow them whilst working on site.

Personal Safety

All persons wishing to enter the  Fantasy XIV Fan Festival 2023 event space prior to the event live period will be required to read the site safety briefing and confirm their understanding and compliance.

  • Please note that construction/decoration works will be ongoing in the halls from 17-22 October inclusive. 
  • We ask that where possible you avoid these areas to ensure that you do not expose yourself to any hazards, or compromise the contractor activities. 
  • If you are unable to avoid being in an area where build activities are taking place and tools / equipment is being used and/or there is plant movement , you should be accompanied and must wear a high visibility vest and robust footwear, and avoid walking across a working area or under any work at height.
  • Please ensure that you wear robust footwear.  Anyone wearing soft soled shoes or open toes will not be permitted.
  • At all times be aware of your environment and remain vigilant.
  • Please be aware of any trailing cables both on the floor and from the roof, or construction materials which could be a hazard. These will be removed before the show opens.
  • Do not walk backwards!  You are far more likely to trip over obstacles or fall from height.
  • If you have or see any accidents, incidents, near misses, suspicious activities or packages please report these immediately to the Fantasy XIV Fan Fest Event Safety or Production Team, on any member of the ExCel Fire Safety or Security. This will ensure a swift response and/or investigation.

Using Mobile Phones

Please do not walk around the venue using a mobile phone or headphones, find a safe place on the perimeter of the hall and remain static. 

 

You MUST be aware of work at height and / or machinery in operation. Walking around the halls whilst looking or using your mobile phone can result in personal injury.

Section 3


Smoking and Fire Procedures

The working areas are NO SMOKING. Smoking is only permitted in designated areas. Vaping is classed the same as smoking and we ask all persons to smoke and vape in the designated area. All smoking paraphernalia is to be fully extinguished once you have finished smoking.

Wherever you are working, please be aware of your nearest Fire Exits.

Fire Extinguishers will be present and positioned at key points across the site. Do not attempt to fight a fire unless it is safe to do so and only if you have the appropriate training to use the fire extinguishers onsite

Fire Action

On discovering a fire, staff should immediately retreat from the fire, activate the nearest call point and advise a security guard.

•       In the unlikely event of an emergency evacuation, you will hear the following message over the venue tannoy:

 

"ATTENTION PLEASE. ATTENTION PLEASE. HERE IS AN IMPORTANT ANNOUNCEMENT. IT IS NECESSARY TO ASK EVERYONE TO LEAVE THE BUILDING. PLEASE MAKE YOUR WAY CALMLY TO THE NEAREST EXIT. DO NOT RETURN TO YOUR VEHICLES. EVERYONE WILL BE RE-ADMITTED AS SOON AS POSSIBLE".

 

Remember

  • Leave the building immediately and make your way to the nearest Muster Point.  You will be guided by the venue Security/Fire Marshals.  Please remain at the Muster Point until advised to do otherwise.

First Aid



A First Aid Kit will be held in the Event Production Office with first aider resource in the halls during the live event.

ExCel London also has its own Medical Centre that will be staffed during the event, build and breakdown. The Medical First Aid is on Level 0, between N4 and S4 boulevard shutters, downstairs.

Security and Emergency Arrangements

If you notice anything suspicious or, out of place within your working area please notify the security staff, the Production Manager or Event Safety Advisor immediately.

Please recognise that we are all experts in our workplace and we are ideally placed to spot when something is amiss

In this period of heightened alert, it is vital to remain vigilant, trust our instincts and report any suspicious behaviour to the Event Management Team immediately.

The ‘Stay Safe’ principles (Run, Hide, Tell) give some simple actions to consider at an incident and the information that the local police may need in the event of a firearms and weapons attack.

RUN HIDE TELL

RUN

  • to a place of safety
  • this is far better option than to surrender or negotiate
  • if there's nowhere to go, then...

HIDE

  • It’s better to hide than to confront.
  • Remember to turn your phone to silent and turn off vibrate.
  • Barricade yourself in if you can.
  • Then finally and only when it is safe to do so…

TELL

Call SECURITY on an internal or mobile phone

What do the local police need to know?

  • Location – Where are the suspects?
  • Direction – Where did you last see the suspects

If you discover a lost or unattended item, either in or around the venue and red carpet, adopt the H O T assessment procedure:

H = HIDDEN

  • Has it been concealed or hidden from view?
  • Bombs are unlikely to be left in locations such as this - where any unattended item will be noticed quickly.

O = OBVIOUSLY SUSPICIOUS

  • Does it have wires, circuit boards, batteries, tape or putty-like substances?
  • Do you think the item poses an immediate threat to life?

T = TYPICAL

  • Is the item typical of what you would expect to find in this location?
  • Most lost property is found in locations where people congregate
